RFP Drafting Assistant Agent

Purpose

This agent assists with the drafting of complete Request for Proposal documents by using RFI learnings, mission context, refined requirements, and existing templates. It helps teams structure a clear, consistent, and ready-to-send RFP for shortlisted respondents.

Primary users

The primary users are sourcing teams, procurement teams, CIO advisory teams, consultants, project managers, and technology selection teams preparing formal vendor consultation documents.

Where it fits (process/stage/trigger)

It fits after the RFI phase, once needs have been clarified and shortlisted vendors must receive a complete RFP. It is triggered when teams need to convert requirements, selection criteria, and mission context into a structured RFP package.

Key capabilities / workflow

The agent ingests RFI synthesis, refined functional and technical requirements, weighted selection criteria, contractual constraints, regulatory constraints, client context, and RFP templates. It structures the RFP, drafts the specifications, defines response expectations, and integrates the evaluation grid. If scope or criteria are incomplete, it loops back to refine the requirements before finalizing the document.

Inputs

Inputs include RFI synthesis, refined business and technical requirements, weighted selection criteria, contractual and regulatory constraints, existing RFP templates, client mission context, and project documentation.

Outputs / Deliverables

Outputs include a structured and drafted RFP document, complete specifications, evaluation grid, response instructions, respondent guidelines, and a package ready to send to shortlisted vendors.

Value

The agent reduces RFP drafting effort, improves consistency across tender documents, ensures evaluation criteria are clearly reflected in the RFP, and helps teams launch vendor consultation faster with a more complete and professional document.
