RFI Response Analyzer Agent

Purpose

This agent analyzes and synthesizes vendor responses received after an RFI. It compares solutions against defined criteria, highlights strengths and weaknesses, and produces a structured synthesis to support shortlisting decisions.


Primary users

The primary users are sourcing teams, procurement teams, CIO advisory teams, consultants, project managers, technology selection teams, and decision-makers involved in vendor pre-selection.


Where it fits (process/stage/trigger)

It fits after RFI responses have been received and before launching an RFP or finalizing a shortlist. It is triggered when multiple vendor responses must be evaluated, compared, scored, and summarized for decision-making.


Key capabilities / workflow

The agent ingests RFI responses, the original RFI, evaluation criteria, scoring weights, and mission context. It compares responses by criterion, identifies strengths, weaknesses, risks, and missing information, calculates scores, and generates clarification questions where needed. It then produces a shortlist recommendation based on structured evidence.


Inputs

Inputs include RFI response documents in PDF, Word, or PowerPoint format, evaluation grids, the original RFI, criterion weightings, mission context, and mission SharePoint content.

Outputs include vendor comparison tables, vendor-by-vendor summaries, strengths and weaknesses analysis, scoring by criterion, shortlist recommendations, and clarification points to request from vendors.
