Dual Agenda Synchronization Agent

Purpose

This agent manages planning and synchronization between two separate calendar ecosystems, such as a client calendar and an internal company calendar hosted on different providers. It reduces manual coordination by detecting conflicts, identifying shared availability, and supporting meeting scheduling across systems.

Primary users

The primary users are consultants, project managers, assistants, delivery teams, account teams, and client-facing teams coordinating meetings across separate calendar environments.

Where it fits (process/stage/trigger)

It fits during mission planning, recurring meeting setup, client coordination, workshop scheduling, and project governance. It is triggered when meetings must be planned across two calendar systems with different availability constraints and participants.

Key capabilities / workflow

The agent connects to both calendars, compares availability, participant constraints, existing meetings, and preferred time windows. It detects conflicts, proposes compatible time slots, sends invitations once a slot is confirmed, and keeps both calendars aligned. If no suitable slot is found, it loops back to refine participants, constraints, or meeting options.

Inputs

Inputs include the client calendar, internal calendar, availability constraints, meetings to schedule, participant lists, Outlook or Google Calendar data, Teams context, and scheduling preferences.

Outputs / Deliverables

Outputs include proposed available time slots, sent meeting invitations, detected conflict alerts, synchronized calendar entries, and a consolidated planning view across both agendas.

Value

The agent reduces manual scheduling effort, prevents double-booking, improves coordination between client and internal teams, and helps project teams manage meetings more efficiently across disconnected calendar systems.
